Description

We are seeking an experienced n8n Automation Specialist to develop a comprehensive, self-hosted automation suite focused on recruitment intelligence and prospect outreach. This system requires robust Human-in-the-Loop (HITL) approval, strict data hygiene, and sophisticated AI guardrails.

Core Workflow Centers

The automation suite will primarily manage four distinct workflows:

  1. Job Page Monitoring & Validation.

  2. Employer & Practice-Group Research.

  3. Prospect Outreach Preparation (Call Notes & Email Drafts).

  4. Controlled Email Sending (Nurture Cadence).

Essential Skills & Technology Stack

The ideal candidate must have a strong understanding of n8n’s internal capabilities, including:

  • AI Tools: Proficiency with n8n's AI nodes for data review, classification, and complex transformation.

  • Web Interaction: Experience using n8n AI tools for web page status checking and advanced web scraping.

  • Integrations: Deep experience with integrations to Google Sheets, Slack, Folk CRM, and custom Webhooks.

  • API Management: Strong ability to connect to and manage external APIs.

  • Data Format: Expertise in handling JSON as the standard data input/output format.

Detailed Deliverables

1. Job Monitoring & Normalization (HITL Workflow)

  • Monitoring: Set up a reliable system to monitor a static list of firm job pages.

  • Normalization: Develop a process to normalize extracted job details against our internal taxonomy (cities, practice groups) and detect duplicate entries.

  • Status Detection: Implement heuristics and retry logic for accurate Active/Closed job status detection.

  • Human Approval: Design a mandatory Human-in-the-Loop approval gate for all new jobs before any downstream processing.

  • Slack Trigger: Configure a Slack workflow to notify the team of a new job ready for approval. Upon approval, trigger subsequent workflows (Deliverable 2, etc.).

2. Employer & Practice-Group Research Pack (AI Guardrails)

  • Targeted Research: Generate comprehensive employer-level research scoped specifically by practice group and city (e.g., "Commercial Litigation – Calgary").

  • Content: The research pack must include:

    • Key partners and notable recent matters.

    • Team composition metrics (e.g., # partners/# associates, rough M/F split where reliably available).

    • Recent market activity signals.

    • General candidate-interest details (Partnership track, benefits package).

  • Data Quality: Implement robust AI Guardrails using a two-pass approach (e.g., Primary Model → Validator Model) to ensure accuracy. Include confidence scoring and source citation links where available.

  • Output: Save the finalized research as a structured database entry (from JSON) and a formatted Google Doc.

3. Candidate Outreach Preparation

  • Source Data: Process candidate lists from various sources (CSV, Folk list, or API).

  • Call Prep Notes: Automatically produce concise, bulleted call preparation notes derived from the research pack (Deliverable 2).

  • Email Template Bullets: Generate 3–4 tailored reasons for outreach, plus an optional single-sentence personalization referencing the candidate’s summary data.

  • Drafting: Ensure the system allows for manual editing of the draft email before finalization or queuing.

4. Outreach Email Sending (Controlled Cadence)

  • Nurture Eligibility: Pull contacts from Folk CRM, calculate contacts with "last contacted $ge 45$ days," and push these candidates into a new "Nurture: Eligible" list.

  • Gmail Integration: Draft the outreach email in Gmail (do not send automatically).

  • Manual Review & Pacing: Queue all drafts for manual review and implement a function to support a controlled "Send Next" pacing button for managing the sending volume.
